SEPA direct debit files are very different compared to the EFT files produced for existing direct debit files. The new XML format involves up to 40 lines of text for each debit transaction compared to 1 on existing EFT files.
Each mandate will have a unique mandate reference (UMR). This UMR must be on each transaction for that mandate. The transactions for each mandate will be verified by the banks processing the transactions to ensure that the appropriate transaction codes are on the debit transactions. When a final transaction is processed for a mandate the bank will verify that no subsequent transactions are submitted.
Each transaction will also have its own unique ID which will follow that transaction through to its final destination. If the transaction is unpaid, then the transaction to un-pay the item will contain this ID. This allows the original transaction to be identified.
The ISO 200022 XML standard applies to the format of files. The XML file will be uploaded to banks. Most will use their existing electronic banking services to securely upload the file. Where transactions are unpaid, an XML file will be made available to the creditor to download with the details of the transaction, including the unique ID for the original transaction.
By allowing full control over the administration of customer account details, as well as allowing adjustments to amounts prior to generating the direct debit file, our SEPA Direct Debits system gives you great flexibility in managing the cash collection process.
A Direct Debit Authorisation form must be obtained from all customers to be billed using our SEPA Direct Debits system. A sample form is included in our migration pack. You should check the form carefully to ensure it is correctly filled out and correctly signed. You must keep this authorisation form safely as it is your proof of your authorisation to debit the customer’s bank account. Our SEPA Direct Debits system allows you link a scanned image of each mandate to an individual customer within the system. This allows you quickly and easily verify the mandate details in the event of a query. It is recommended that the paper copy be carefully stored in case it needs to be referred to in the future as the scanned copy may not be sufficient proof in the event of a dispute.
When you receive back the signed mandate form your customer, simply create an entry in the SEPA Direct Debits system including the customers BIC and IBAN. Only accounts where a valid BIC and IBAN are stored will have a direct debit transaction generated. Each mandate on the system will be given a unique mandate reference number (UMR).

Our SEPA Direct Debits system will manage the identification of transactions through the different stages and ensure they are correctly flagged on the payment file. Every transaction will be individually identified and linked with the mandate to which it relates. Once a final payment or once-off payment has been processed for a mandate, no more transactions can be generated for that mandate. If you wish to process further debits for this customer a new mandate must be obtained and set up on the SEPA Direct Debits system.
We make the process of getting prepared for direct debits easier by providing you with sample mandate forms for issuing to your customers. These have the correct wording required under SEPA legislation. You can customise these mandates by inserting your company logo and business name. Your mandate must be approved by your bank before you will be allocated a "Creditor ID" which is required before you can submit SEPA Direct Debit files.
